Zoho People for Indian HR Compliance

Attendance, leave and records kept consistently, because reconstruction is not possible.

HR compliance in India is mostly record-keeping. The obligations are not complicated in themselves; the difficulty is that they are continuous, spread across several statutes, and impossible to reconstruct after the fact if nobody kept the record at the time.

What has to be right from day one

Everything else depends on the employee master being complete and current — joining date, designation, work location, statutory identifiers, salary structure and reporting line.

Work location matters more than it appears to. Professional tax is a state matter and leave entitlement follows the establishment the employee is attached to, so a company registered in one state with staff in another needs both recorded separately.

Effective-dated records

A promotion or transfer recorded with the date it took effect, not overwritten. Registers and disputes both depend on the history.

Leave that matches the statute

Earned, sick and casual leave behave differently. Accrual method, carry-forward caps and encashment all set to your written policy.

Attendance exceptions

The missed punch, the shift crossing midnight, the employee at a client site. Defined before go-live, or someone edits records by hand every month.

Role-based access

Employees see their own records, managers see their team. Relevant to obligations under the Digital Personal Data Protection Act, 2023.

What it does not do

Zoho People manages HR records and processes. Payroll calculation, statutory deduction and payslip generation belong to Zoho Payroll or another payroll system, working from the same employee master.

Being clear about that boundary avoids the common assumption that implementing Zoho People has solved payroll compliance, which it has not.

Zoho People — Frequently Asked Questions

Does Zoho People handle Indian statutory registers?+

It holds the underlying records and can produce registers from them, which is the practical benefit over maintaining them separately. Which registers you must keep depends on your establishment and headcount.

Can it apply state-specific leave rules?+

Leave types, accrual, carry-forward and encashment are all configurable, so state rules can be represented. They are not preconfigured, and the accrual method should match your written policy rather than the system default.

Does Zoho People run payroll?+

No. It manages HR records, attendance and leave. Payroll calculation and statutory deductions belong to Zoho Payroll or another payroll system working from the same employee master.

Do we need biometric devices for attendance?+

No. Web and mobile check-in are supported and biometric integration is optional. The more important decision is how attendance exceptions are handled, which is a process question rather than a hardware one.

How does it handle employees at multiple locations?+

Work location is recorded per employee, which matters because professional tax and leave entitlement follow the location rather than the company's registered address.

What about data protection for employee records?+

Employee data falls within the Digital Personal Data Protection Act, 2023. Zoho People supports role-based access and retention settings, but the policy decisions — who sees what, and for how long — have to be made by the business.
