Zoho One bundles the entire Zoho suite for one per-person price. Whether that is cheaper than buying two or three apps individually depends on a detail that catches businesses out.
The all-employee rule
Zoho One is licensed per employee, not per user. If you buy it, you generally must license every employee in the organisation — not only the ones who will use it.
For a business where twelve of fifty staff need software, that changes the arithmetic completely. Individual apps for those twelve may be considerably cheaper than Zoho One for fifty.
There is a flexible-user variant priced higher per seat without the all-employee requirement, and for exactly this situation it is frequently the right answer. It is not always offered unless asked for.
Where the break-even sits
The rough test: if most of your staff would use at least three or four Zoho applications, the bundle usually wins. If a minority use one or two, individual apps usually win.
Count honestly. Businesses talk themselves into the bundle by listing applications they intend to adopt and then never do, which is how a saving becomes an overspend.
The argument for the bundle beyond price
There is a real non-financial case. With everything included, adopting another application is a decision rather than a purchase, which removes the friction that stops businesses from improving a process.
Teams on the bundle do genuinely adopt more of the suite, and integration between Zoho applications is better than between separate vendors' products.
The trap on the other side
Sprawl. Because everything is available, businesses end up with five applications half-configured by different people, and no clear answer to which holds the authoritative record.
